Lets start with an example: You are a sales manager and you want to automatically assign any new leads that come in through your website to the salesperson on your team.
To do this, we will use the "Lead Assignment" automation.
First, log in to your Zoho CRM account and click on the settings button > look under the "Automation " title. Then, click on the "workflow rules" button.
Next, you will need to click on "create new rule" for which a window will appear and present 3 options for you.
Module refers to the type of data you want to automate. In our case, we want to automate lead data, so we will choose the "Leads" module.
The second option is "rule name" in which you will need to enter a name for your rule. We will call our rule "Lead Assignment."
The last option is "description" in which you can enter a brief description of your rule.
Now that we have this out of the way, you should see a new window open up with different options.
This will appear as a flow chart of sorts and will begin with a trigger .
"A trigger is the action that will cause your automation to start".
For our example, we want our automation to start when a new lead comes in, so we will choose the "when a record is created" trigger.
After you have selected your trigger, you can then add conditions.
The conditions tab also allows you to specify location, created by and for the sales process conditions.
From there, you can create actions.
"Actions are the steps that you want your automation to take".
For our example, we want our automation to assign any new leads that come in to the salesperson on our team.
To do this, we will select the "assign record" action and choose the salesperson that we want to assign our new lead to.
You can also add a time-based action, which is an action that will take place after a certain amount of time has passed.
For example, you could create an automation that will send a follow-up email to a lead three days after they fill out a form on your website.
To do this, you would select the "send mail" action and choose when you want the email to be sent.
You can also add more actions and conditions to your automation as well as set rules to run your automation on a schedule.
